Privacy policy
Last updated: 25 September 2026
ATOM is operated by Samuel Richard Joyce in Australia ("we", "us" or "our"). This policy explains how we handle personal information when you visit atomworks.app, use our web, desktop or field applications, or contact us. For privacy questions or requests, email support@atomworks.app.
Information we collect
- Account and workspace information, such as your name, email address, role, organisation, authentication details and preferences.
- Information you or your organisation provide to manage maintenance work: contact and property details, work orders, appointments, quotes, invoices, messages, notes, photos and attachments. This may include information about tenants, customers and technicians.
- Information from services you choose to connect, including Gmail messages and account details as described below.
- Device, browser and service-use information, such as IP addresses, request logs, error reports and security events. If you grant location permission and use location-sharing features, we also process the location you share for dispatch and work coordination.
- Subscription, transaction and support records. Payment providers process payment details; ATOM receives the billing information needed to manage your subscription.
How we use information
We use information to provide and secure ATOM, authenticate users, manage workspaces and subscriptions, coordinate maintenance work, deliver communications, respond to support requests, diagnose problems and meet legal obligations. Workspace members can access information according to their roles and permissions. Your organisation is responsible for having an appropriate basis to supply information about other people.
Where your workspace uses AI-assisted features, relevant work and communication context may be processed by model providers to classify requests, summarise information, draft responses or propose actions. Review generated content before relying on it. AI output may be incomplete or incorrect.
Gmail and Google user data
Connecting Gmail is optional. With your authorisation, ATOM requests the Gmail permission to read, compose, send and modify email (gmail.modify). This lets ATOM read messages, headers and attachments, organise messages with labels, link correspondence to work records, and send email as part of the workflows you enable. We also store your connected email address, encrypted OAuth credentials and synchronisation information needed to maintain the connection. We do not receive your Google password.
Google user data is used only to provide or improve the user-facing features of ATOM that you use. We do not sell Google user data, use it for advertising, or use it to train or improve general-purpose AI or machine-learning models. Transfers to service providers are limited to providing these features, security purposes, legal requirements, or a business transfer with the consent required by Google's policy.
Human access to Google user data is limited to your affirmative agreement to view specific data, necessary security investigations, legal obligations, or internal operations on aggregated and anonymised data as permitted by Google's policy.
ATOM's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Sharing and overseas processing
We share information with your authorised workspace members and with providers that help us host and secure the service, process payments, deliver communications, provide support or run enabled AI features. We limit disclosure to what is needed for those purposes. Connected third-party services also handle information under their own terms and privacy policies. We do not sell personal information.
Providers may process information outside your country, including outside Australia. We may disclose information when required by law, to protect rights and safety, or in connection with a business transfer, subject to applicable law and the Google-specific restrictions above. Contact us for information about the providers relevant to your workspace.
Storage, security and retention
We use access controls and technical safeguards to protect information, including encryption of stored Gmail OAuth credentials. No service can guarantee absolute security. Keep your account credentials secure and tell us promptly if you suspect unauthorised access.
We retain information for as long as needed to provide the service and fulfil the purposes described here, including recordkeeping, security, dispute resolution and legal obligations. Retention depends on the type of information and the workspace's circumstances. Backup and audit records may remain for a limited period after removal from active systems; information that must be retained is restricted to its permitted purpose.
Your choices, access and deletion
You can disconnect Gmail in ATOM's integration settings and revoke Google's authorisation through your Google Account connections. Disconnecting removes or disables the ATOM connection and clears its stored credentials; it does not automatically delete messages or work records already imported into a workspace. Revoking access in Google prevents future authorised access but does not remove existing copies in ATOM.
To request access to, correction of, export of or deletion of your personal information, including imported Gmail data, contact your workspace administrator or email support@atomworks.app. We may need to verify your identity and authority. We will explain any legal or legitimate recordkeeping reason that prevents us from fulfilling a request. Device permissions, including location and notifications, can also be changed in your device settings.
Cookies and local storage
We use cookies and browser or device storage to keep you signed in, remember preferences and support application functionality, including local data synchronisation. Clearing or blocking this storage may sign you out or affect the service. Shared-device users should sign out and protect access to their device.
We also use cookies to see which pages people view and which signup steps they complete, so we can improve them. We don't record what you type into forms.
Children, complaints and changes
ATOM is a business service and is not directed to children. Contact us if you believe a child has supplied personal information without appropriate authority.
Send privacy concerns or complaints to support@atomworks.app. We will investigate and respond. You may also contact your local privacy regulator; in Australia, this is the Office of the Australian Information Commissioner.
We may update this policy as the service or our obligations change. We will publish the revised policy here, update the date above and provide additional notice of material changes where required. See also our Terms of service.
